Headwater Learning Foundation (HLF) is the primary fundraising arm and is the organization that safeguards the assets of Calgary Academy. Housing all business services, HLF provides the resources necessary to unleash possibilities in learning and innovation as well as fundraising initiatives.

About the Role

The Fundraising Coordinator role is a perfect mix for someone who loves wearing multiple hats and managing several projects at the same time! Your role will support the fundraising efforts of the Headwater Learning Group (HLG), comprised of Calgary Academy, Headwater Learning Foundation and Headwater Learning Solutions for half of the time. This role also supports Calgary Academy Parents’ Association (CAPA), a volunteer operated charity focused on providing financial support for students with demonstrated financial need. Since 1986, CAPA has raised more than $5 million for the CAPA bursary fund to ensure that children with special learning needs surpass their potential.

Fundraising efforts for HLG include supporting CAPA through event planning, logistics, administration, and volunteer coordination as well as reporting to external regulatory bodies and document processing. The ideal candidate will report to multiple managers with time split equally between the two entities which requires superb time management and organizational skills. Our Fundraising Coordinator is one of the faces of our organizations, and therefore should have good people and communication skills in order to best work with our clients.

Responsibilities

  • Support the development and execution of all Headwater Learning Group and CAPA fundraising initiatives
  • Plan and organize all logistics for all fundraising events, including volunteers
  • Develop and administer the donor management database
  • Administer, track and update all gift agreements, pledges, and scholarship renewals
  • Handle all office administrative duties, including phone inquiries, requests and complaints in a professional manner, maintain files with confidentiality, work with supply vendors, coordinate communication between CAPA board and keep all parties informed of general business operations
  • Maintain relationships with bingo hall managers and update bingo scheduler website to ensure CAPA receives the appropriate number of bingos required to maintain funds for bursaries
  • Manage bursary applications and related paperwork
  • Prepare monthly financial reports for CAPA including financial transactions, data entry, deposits and bank reconciliations
  • Submit required documentation on behalf of CAPA to external regulatory bodies such as Alberta Gaming, Liquor and Cannabis Commission
  • Update and maintain CAPA website

Qualifications

  • One to three years of fundraising or related experience (sales, business development, event coordination)
  • Post-secondary education in marketing, fundraising, communications or combination of education and related experience
  • Knowledge and competencies in basic accounting functions, including QuickBooks
  • Highly organized, detail-oriented, and mindset that supports managing multiple projects
  • Skilled communicator and ability to empathize with bursary families and rally volunteers
  • Valid driver’s license and access to dependable vehicle as local travel may be required on some evenings and weekends
  • Strong ability to work both independently and collaboratively
  • Knowledge of fundraising practices and ethical standards
  • On-call availability
  • Working knowledge of Raiser’s Edge is considered an asset
